It applies to our websites, products and services, including neuralnetgroup.com, and to interactions you have with NEURALNET.

Our Commitment

We take privacy seriously and aim to handle personal information responsibly and in accordance with applicable privacy laws.

This Policy should be read together with our Terms of Service and any additional privacy notices that apply to a specific Service.

Information Used in Prospecting and B2B Services

Some NEURALNET Services involve business prospecting, contact discovery, enrichment, CRM or outbound marketing.

Business contact information may be obtained from information supplied by clients, publicly available business sources, third-party data and enrichment providers, integrations selected or authorised by clients, and other lawful sources.

The availability and accuracy of third-party data can vary.

Clients using prospecting or messaging Services are also responsible for ensuring their use of contact information complies with applicable privacy, spam and marketing laws.

How We Collect Information

We may collect information directly from you when you contact us, purchase a Service, request a demonstration, complete a form, book a meeting, communicate through chat or email, create or use an account, or provide information for implementation or support.

We may collect technical and usage information automatically through cookies, analytics and similar technologies.

We may also receive information from service providers, integrations, payment providers, analytics providers, advertising platforms, business-data providers, publicly available sources and other third parties involved in delivering our Services.

Marketing Communications

We may send marketing communications where permitted by applicable law.

You can opt out of marketing emails using the unsubscribe mechanism in the message or by contacting us.

Opting out of marketing does not prevent service, billing, security or other necessary transactional communications.

AI-Assisted Services

Some NEURALNET Services use artificial intelligence or automated processing to assist with research, drafting, classification, enquiry handling, workflow automation, content production, CRM activities, customer-service support and AI employee functions.

Information processed through an AI-assisted Service may be processed by third-party technology providers forming part of the service infrastructure.

We seek to configure access and data flows appropriately for the relevant Service, but clients should not provide sensitive or regulated information to an AI workflow unless that use has been specifically assessed, configured and approved.

Where people interact directly with an AI assistant provided as part of a NEURALNET Service, we aim to make that interaction appropriately clear.

Sensitive Information

and Health Information

NEURALNET does not currently market its standard AI Reception Service as a system for processing medical records, clinical information or regulated professional advice.

Do not intentionally submit health information or other sensitive information to a NEURALNET AI workflow unless the relevant use case has been specifically assessed and agreed.

If NEURALNET introduces Services designed to handle health information or other sensitive information, we will review applicable privacy, security, consent and contractual requirements and update our documentation as required.

Disclosure to Service Providers

We may disclose personal information to third parties that help us operate our business and deliver Services, including providers of hosting/cloud infrastructure, CRM/workflow software, email/messaging, AI/automation technology, business-data/enrichment, analytics, payment processing, customer support, professional advice, security and IT administration.

We may also disclose information where required or authorised by law, to protect our rights/users/systems, or in connection with a sale, restructure, merger or transfer of all or part of our business, subject to applicable law.

We do not disclose personal information to third parties for their own unrelated marketing purposes without an appropriate legal basis.

International Processing

Some technology providers used to operate NEURALNET Services may store or process information outside Australia. Countries involved may vary depending on the providers and Services used.

Where required, we take reasonable steps appropriate to the circumstances to address privacy and security obligations relating to overseas processing.

Clients with specific data-residency or cross-border requirements should raise those requirements before implementation.

Data Security

We take reasonable technical and organisational measures designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

No internet-connected system is completely secure, and we cannot guarantee absolute security.

Clients are responsible for maintaining the security of their own credentials, devices and authorised users.

Data Retention

We retain personal information for as long as reasonably required for the purposes for which it was collected, to provide Services, maintain appropriate business/legal records, resolve disputes, enforce agreements and comply with legal obligations.

Retention periods vary according to the information and Service.

Where information is no longer reasonably required and we are not legally required to retain it, we will take reasonable steps to delete or de-identify it.

Client CRM and Contact Data

Where NEURALNET processes contact, prospect or customer information on behalf of a client, the client may have its own privacy obligations.

Clients are responsible for ensuring they have an appropriate basis for collecting, using and instructing NEURALNET to process that information.

On termination of a relevant Service, NEURALNET will provide a CSV export of client contact data and reasonably assist with handover of exportable client data, subject to applicable law, technical limitations and third-party platform restrictions.
